The following is a general outline of the real estate support services offered at eOfficeVisions. Each Client’s needs are unique; therefore, customized solutions are provided for all tasks/projects based on each Client's individual needs, visions, and specifications. eOfficeVisions is committed to complete Client satisfaction.  Se habla español!

 

eOfficeVisions may conduct the research and learn the process/software, supervise and subcontract to an outsource VA for non-critical tasks to open time for managing the new service/project. 

 

We may also research and refer a specialized VA to the Client, or supervise the outsource VA assigned the new service/project.

Online Marketing ~  Enhancing Listings, MLS Input/Updates, Power Point Presentations, Virtual Tours, Showing Feedback, Web Commercials, e-Cards, Drip Marketing/Email Campaigns, etc.

Organizational Consulting ~  General guidance on working in a more organized and efficient manner.   Research and collaborate with Client in streamlining or eliminating redundant procedures, maximizing the use of technology and organizational venues to increase productivity

Process/Policy/Procedures Documentation  ~  Document the process details for procedures and compile into policy and procedures manuals

Research  ~  Internet and traditional

* New * Spanish Translation Services ~ Translate English documents, websites, marketing materials into Spanish.  Verbal translations from English to Spanish and Spanish to English via phone.

Websites ~  Website Assessments & Strategic Plans, template website set up & maintenance (i.e. updates, track site traffic/statistics, monitor for bad links/missing images/downtime, etc.), basic search engine optimization, assist with web hosting issues, research resources, etc.

Virtual Real Estate Support (Unlicensed)

 

The laws regulating the type of duties an unlicensed assistant, VA or RESS may perform vary from state to state.  However, unlicensed assistants are generally limited to clerical and secretarial tasks under the direction of a licensed agent or broker.  The following list of permitted  and prohibited services follows these regulations as they apply to MOST STATES.

 

An unlicensed assistant/VA/RESS MAY  perform the following, under the direction and approval of the licensed agent or broker:

 

Accounting:

 

  • Record and deposit earnest money, security deposits and advance rents

  • Compute commission checks

  • Pay bills

  • Place routine telephone calls on late rental payments

  • Order items of routine repair as directed by the licensee or supervising broker

General:

Technical Support:  Handle troubleshooting and other communications with ISP, web hosting companies, internet programs/software/hardware support centers

 

Listing Maintenance:

 

  • Submit listings and changes to a Multiple Listing Service (MLS) at the direction of the licensee or broker

  • Log expired listings for review and action

 

Marketing:

  • Prepare flyers, postcards and promotional materials for approval by licensee and supervising broker
  • Place advertising and monitor results

  • Maintain mailing lists in database utilizing mail-merge

  • Address and mail open-house invitations and thank you notes to open-house attendees

  • Prepare materials for open houses

  • Prepare listing packages and prepare listing presentations at the direction of the licensee or broker

  • Website Maintenance: Monitor site for down time, bad links, missing images, etc.  Keep track of site traffic and statistics.  Submit entries to search engines and directories.  Update and enhance listings with color, animation, virtual tours, photos. 

  • Prepare, address and mail special-occasion cards, agency announcements, promotions, neighbor notifications, invitations, etc.

  • Manage the purchase and delivery of closing gifts

An unlicensed assistant/VA/ MAY NOT  perform the following:

  • Make representations about the services offered by the real estate brokerage

  • Prepare promotional materials or ads without the review and approval of the licensee or supervising broker

  • Show property

  • Host open houses

  • Answer any questions regarding listings, title, financing, contracts, closings, or other information relating to a transaction

  • Negotiate or agree to any commission, commission split, management fee or referral fee on behalf of a licensee

  • Be paid on the basis of real estate activity, such as commissions

  • Explain a contract, listing, lease, agreement, or other real estate document with anyone outside the real estate brokerage firm

Note: If an unlicensed assistant, VA or RESS performs acts, which would require a real estate license - even without the REP's knowledge - the REP may be subject to disciplinary actions, which may include license suspension or revocation. Agents and brokers are advised to consult their Board's regulations and their attorney's when in doubt.
